Movo AI, Inc. builds infrastructure designed to protect the contacts, communications, and sensitive data that pass through our service. This policy explains what we collect, how we use it, and the choices you have.

In short: we don’t sell your personal information, we collect the minimum we need to run the service, your data belongs to you, and no employee accesses email or message contents without explicit authorization.

1. Important information

1.1 General terms

Movo AI, Inc. prioritizes user privacy. We commit to: no unauthorized access to emails or communications without explicit authorization; collecting only the minimum necessary data; storing only the communications that pass through Movo for service delivery; user ownership of data; and privacy compliance with applicable law.

“Personal Information” means data that identifies an individual (name, contact details, identifiers, and behavioral data). “Services” includes our website, applications, AI voice/email/text agents, CRM integrations, and related offerings. Using the Services constitutes consent to the collection, storage, use, processing, and disclosure of data as described here.

1.2 Revisions to this policy

We may modify this policy at any time. Continued use of the Services after revisions indicates acceptance. Material changes will be notified via the website, in-app notices, or email.

2. Use of our services

2.1 Customer use

The Services enable communication campaigns, parent-outreach automation, call handling, messaging, inquiry management, and CRM/scheduling integration. Movo does not control customer-sent content; customers retain ownership of their data, governed by their own privacy policies. Processing occurs under customer direction with secure storage. Movo maintains no direct relationship with end-users; customers control all personal information collected, stored, transmitted, or processed through the platform.

2.2 Sensitive information

Sensitive Information includes financial data, identification numbers (SSN, passport, driver’s license), health information, racial or ethnic origin, and third-party service credentials. Movo does not intentionally collect sensitive information except for payment processing or integration authentication.

3. Information we collect

3.1 Account information

3.2 Communications data

We collect outbound messages, inbound responses, call audio, transcripts (if enabled), call metadata (timestamps, durations, caller ID), parent inquiries, and booking/scheduling data — for AI processing, reply detection, classification, analytics, follow-ups, and service delivery.

3.3 Data from integrated systems

Connected systems (such as Jackrabbit, LeagueApps, Salesforce, iClassPro, HighLevel, or similar CRM/scheduling tools) may provide contact lists, leads, parent information, program information, enrollment and scheduling data, tags, notes, and statuses — processed solely for the AI workflows you instruct.

3.4 Navigational and technical data

3.5 Payment information

Collected via PCI-compliant third-party processors only.

3.6 Children’s information

Movo does not knowingly collect data directly from children under 13. If you believe otherwise, contact info@trymovo.ai immediately.

3.7 Google API data

Gmail or Google Workspace connections require compliance with the Google API Services User Data Policy, including its Limited Use requirements. Movo stores only emails sent via Movo plus replies and minimum operational metadata. Google-derived data is not used for advertising or model training. Employee access requires explicit authorization.

3.8 Cookies, web beacons, and analytics

Used for functionality, performance, security, and to understand traffic behavior.

4. How we use information

4.1 Provide and improve services

  • Running the AI communication engine
  • Delivering voice calls, SMS, and emails
  • Detecting responses
  • Enhancing call accuracy, transcription, and reasoning
  • Recommending next steps
  • Training private, non-generalized models for your account (if applicable)

4.2 Support and customer service

Troubleshooting, responding to help requests, and diagnosing issues. Data access for support requires explicit permission.

4.3 Communications

Administrative messages, onboarding content, service updates, and occasional marketing emails. You may opt out of marketing at any time.

4.4 Security, fraud prevention, and legal

Detecting suspicious activity, preventing abuse, complying with laws, and enforcing our Terms of Service.

5. Data sharing

Movo does not sell personal information.

5.1 Service providers

Data may be shared with hosting platforms, cloud infrastructure providers, speech-to-text and LLM vendors, email/SMS delivery partners, payment processors, and CRM integration systems — all contractually obligated to protect data.

5.2 Legal and safety

Information may be disclosed if required to comply with legal obligations, respond to law enforcement, or protect Movo, its customers, or the public.

5.3 Business transfers

If Movo undergoes acquisition, merger, or financing, personal information may transfer under confidentiality obligations.

5.4 Mobile numbers and SMS consent

Mobile numbers and SMS consent information are used only for service-related communications. They are not sold, shared, or disclosed to third parties for marketing or promotional purposes. Service-provider sharing occurs strictly for platform operations under confidentiality obligations.

6. Data retention

Movo retains personal information while accounts remain active and as needed for legal, tax, fraud, and audit compliance. Upon account closure, data is deleted or anonymized within a reasonable timeframe unless retention is legally required. Deletion may be requested at any time.

7. User choices & data rights

7.1 Request data deletion

Email privacy@trymovo.ai. Movo deletes account data unless legally required retention applies.

7.2 Opt out of marketing

Click “unsubscribe” or email info@trymovo.ai.

7.3 Access or correct data

Request via privacy@trymovo.ai.

7.4 Restrict or object to processing

Available to EU/EEA users under GDPR.

8. Security

Movo implements encryption in transit (TLS), encryption at rest, access controls, SOC 2-aligned practices, and zero employee access to email or message contents without explicit authorization.

9. International transfers

Data may be processed in the U.S. or other jurisdictions. Safeguards (such as Standard Contractual Clauses) apply where required.
